The need

When information does not flow, reception loses context.

At a multi-tenant site, one arrival can involve the company being visited, reception, security and building management. When each party works from different information, checks multiply and responsibility becomes less clear.

01

Scattered information

Invitations, messages and instructions can remain spread across several people and tools.

02

Last-minute checks

Reception or security may need to find the host and visit context while the visitor waits.

03

Incomplete visibility

Site management struggles to obtain a coherent view of arrivals, departures and sessions awaiting reconciliation.

The journey

One continuous journey, from invitation to visit record.

Gately connects each step without confusing an invitation, an observed entry and a closure recorded when no exit was captured.

01

Prepare the invitation

An employee at a tenant company creates and shares the invitation from web or mobile.

02

Prepare reception

Reception finds the expected visitor with the relevant host, tenant company and site.

03

Confirm entry

Reception or security checks the QR and confirms the entry decision from a smartphone.

04

Handle a walk-in

The visitor follows the site’s existing admission procedure. Reception records the context and decision.

05

Receive a recurring service provider

The service provider uses the same visit model, with configured information and supporting documents when the site requires them.

06

Record or reconcile departure

An observed departure remains distinct from a manual or system closure when no exit was recorded.

07

Review authorised activity

The FM or property operator reviews current and historical activity within their permitted scope.

Coordinated roles

Everyone acts with the right context, at the right time.

Invitation

Tenant employee

Prepares and shares invitations for expected visitors.

Tenant scope

Tenant company

Manages its users and visits without accessing another tenant’s data.

Arrival

Reception

Finds expected visitors and handles walk-ins according to the site procedure.

Decision

Security

Checks the relevant information and records entry decisions and exit events.

Operations

Property or FM management

Configures the operating scope and reviews authorised activity across a building or portfolio.

One shared visit model

One operational framework for occasional visitors and recurring service providers.

Visitors and service providers use the same invitation and visit-session logic. For a recurring service provider, the site can add a validity period, service company, purpose and configured supporting documents when required.

Occasional visitor

An identified invitation, host, time window and site.

Recurring service provider

The same journey, with validity and information adapted to the intervention.

Operational record

Entries, departures and unresolved sessions remain distinct in the history.

Deployment

With the resources already in place on site.

Gately Business works with smartphones and existing physical-access procedures. The platform coordinates information and operational decisions without controlling barriers, doors or turnstiles.

Frequently asked questions

Understanding the Gately Business scope

What types of sites is Gately Business designed for?

Gately Business is primarily designed for multi-tenant office buildings and business parks operated by a property manager or FM operator. A headquarters or campus can also be considered according to its operating model.

Does the visitor need to install an app?

No. Visitors receive the necessary information and present their link or QR on arrival, without creating a Gately account.

Do existing access systems need to be replaced?

No. Gately Business works with smartphones and existing access procedures. It does not control barriers, doors or turnstiles.

How are walk-in visitors handled?

Reception or security follows the site’s admission procedure, records the visitor, company and person being visited, then records the decision.

How are recurring service providers handled?

They use the same visit model as other visitors. Their journey can include recurring validity, the service company, purpose and supporting documents configured by the site.

How are missing exits handled?

A scanned exit is recorded as an observed event. When an exit is missing, the session can be reconciled manually or closed by the system without being presented as an observed departure.

Does Gately Business work offline?

No. The MVP scope is online only. If connectivity is lost, the site retains its manual reception and admission procedure.

How much does Gately Business cost?

The Building or single site offer is MAD 12,000 excluding VAT per year for one operational site and up to 15 tenant organisations. Campuses, large multi-building headquarters and portfolios receive a quote adapted to their scope.
